We agree scope and fees before work begins.

What we deliver

A defined scope, ready for handover

Intake and duplicate handling

Map required fields, consent data, source attribution and duplicate rules. Validate incoming data before it enters downstream systems.

Routing and CRM updates

Assign owners using agreed territory, product or account rules. Preserve the original enquiry and record changes and delivery failures.

Review and follow-up queue

Prepare summaries or draft replies for review, notify the owner and surface unhandled enquiries. Test retries without creating duplicate outreach.

How we work

Agree, implement, verify

  1. Define the scope

Review the current setup and agree deliverables, responsibilities, access and acceptance criteria before implementation.

  2. Build and review

Work through representative examples, share progress and resolve issues against the agreed criteria.

  3. Launch and hand over

Complete the agreed checks, document known limitations and hand over ownership, instructions and any separately agreed support.

Scope & responsibilities

We use authorized first-party data and agreed CRM permissions. Purchased lead lists, unrestricted scraping and unsupervised outreach are not assumed. Data retention, consent handling and any automatic message sending require a defined scope.

What to share for an estimate

Provide an anonymized enquiry sample, CRM field map, routing rules, response expectations and the current process for handling consent and deletion requests.

Questions before you start

Plan the work with clear expectations

Can the agent decide which leads are qualified?

It can suggest a classification against your criteria, with uncertainty surfaced. Your team approves the policy and which decisions require review.

Does this replace our CRM?

Usually it connects the tools you already use. A CRM replacement is a separate project and is not required to automate intake and routing.
